Food Vendor Registration
CDBF Services: CDBF's goal is to provide a wide variety of foods to festival-goers, and to provide a profitable and enjoyable experience to vendors. CDBF actively promotes and markets to an ethnically diverse and well-educated customer base. Temporary parking close to the exhibit site is reserved for vendor unloading. CDBF provides security, staff patrols and trash pick-up to maintain a clean, well-run, family oriented festival.
Food Vendor Selection Criteria: The Selection Committee (made up of the Colorado Dragon Boat Festival Operations Committee and its Board of Directors) will evaluate and select applicants. Selection criteria is based on appropriateness to the festival mission, development of a diverse Marketplace, past history of festival participation, and adherence to regulations set by the state, city and the festival committee.
Mandatory Food Vendor's Meeting:
Date and location to be determined. Mandatory Food Vendor's Menu Review is required with the City and County of Denver's Department of Environmental Health, Public Health Inspection Division. Call 720-865-5401 to set up your menu review before the Food vendor’s Meeting.
Hours of Operation: Set-up starts at 6:00 AM, with completion by 9:00 AM on July 26. Dismantling begins at 7:00 PM on July 27. Vendors must vacate park by 8:30 P M.
Vendor Responsibilities: Food Vendor is responsible for providing all equipment INCLUDING tent (canopy with sides), tables, chairs. etc.Food Vendor is responsible for set up, operation, maintaining, and dismantling of the booth. The vendor shall maintain a clean and safe operation for the full duration of the festival. The vendor shall clean up booth site and remove or dispose of trash. Vendors are expected to comply with all federal, state and local laws, rules and regulations, and shall have all appropriate licenses, permits and other required documentation. Food vendors must meet City and County of Denver Health Department and Fire Department requirements and permits. The food vendor must provide proof of $1 million of liability insurance. Subletting or booth sharing is not permitted without prior permission of the DBF. You MUST have a Colorado and a Denver Sales Tax License if you are selling any food or goods.
Recycling Program: The Colorado Dragon Boat Festival takes a very proactive and committed stance pertaining to environmentally sound practices. The purpose of this program is to utilize recycled materials wherever possible, and to minimize the amount of non-recyclable waste generated by the event. All Food Vendors are asked to participate in this program, which has the following requirements:
- Serving Equipment - Food Vendor agrees that all food will be served on recyclable paperware and with recyclable plastic utensils.
- Cardboard Recycling - Food Vendor agrees to flatten and segregate cardboard boxes from trash and place them in the designated cardboard receptacles provided by CDBF.
- Packaging Materials - Food Vendor agrees to purchase supplies that utilize cardboard only packaging, e.g. purchase corn in crates made from recyclable cardboard instead of crates made from non-recyclable wood or metal.
- Décor: Food Vendor is responsible for booth decoration. Bring the necessary items (table coverings, flowers, décor) to create an inviting display. The Asian Marketplace appearance of each booth is critical to the look and feel of this Festival. You are encouraged to be creative!
Terms: Applications must be received by Friday, April 4, 2008, and may be e-mailed, mailed or faxed. Acceptance notices will be mailed the first week of May. Contracts will be issued and must be signed and returned by May16, 2008 with 50% deposit. Balance due June 1. Cancellations accepted by June 6 with refund minus a $50.00 cancellation fee. Invoices will be sent with the contract.
APPLICATION DEADLINE April 4, 2008. Applications received after that date will be placed in a waiting list for consideration as space becomes available.
PRICE LIST for FOOD VENDORS
- 10 x 10 SPACE $625.00 + 10% of net sales
- 10 x 20 SPACE $925.00 + 10% of net sales
- 20 x 20 tent SPACE $1250.00 + 10% of net sales
Each of the Exhibitor fees includes:
- Two 20-amp circuits of 110-volt electricity (220-volt available upon request at an additional charge).
- Access to 2' x 4' refrigerator trailer space provided by the Festival.
- Advance consultation and support regarding menu items, equipment, licenses and more.
- Enthusiastic volunteers specifically assigned to assist in the culinary area prior to and during the Festival
- Two prominent ATM cash machines specifically placed in Taste of Asia for Festival patron use.
- Festival staff dedicated to delivering an exceptional Culinary Program.
Clean-up Deposit: Food Vendors must submit a $200.00 clean-up deposit, returned after walk-through.
Propane: Food vendors requiring propane must order and pay directly to the CDBF selected propane purveyor. Propane orders will be accepted at the mandatory food vendor meeting.
